Fixing CRM data quality with agents instead of nagging
Every revenue team has run the same campaign: a hygiene push, a dashboard of red cells, a manager asking people to update their deals by Friday. It works for about two weeks. The data decays again because nothing structural changed.
The real cause
CRM data is a byproduct of work that already happened somewhere else. The call happened. The email thread happened. The pricing conversation happened. Then someone is asked to re-enter a summary of it, by hand, into thirty fields, after the fact. Manual re-entry is the defect, and asking harder does not fix a defect.
The agent version
- Capture from the source. Call recordings, email threads, and meeting notes already contain next steps, competitors, budget, and decision criteria. An agent extracts them.
- Propose, then write. Updates land as suggestions the owner confirms, until accuracy is proven on a field. Then that field becomes automatic.
- Patrol continuously. Scheduled checks for stale records, duplicates, ownership gaps, and impossible values, fixed or flagged with an audit trail on every write.
- Report on itself. Completeness by field, by team, over time. Data quality becomes a metric with an owner, not a complaint.
Guardrails that make it safe
Scope the agent to specific fields and objects. Log every change with the evidence behind it. Never let it delete. Keep a human approval step on anything that affects forecast or compensation. An agent nobody can audit is an agent nobody will trust after its first mistake.
The payoff
Reps stop doing data entry and get time back. Forecasts stop resting on fields that were guessed at on a Friday afternoon. Every downstream system, routing, scoring, reporting, gets better because the input got better.
